Jobs & Quotations
Create and manage jobs, quotations, Kanban board, and calendar view.
The Jobs and Quotations areas are the core of workshop operations in GRX. You use them to capture customer requests, create quotations, convert approved quotes into jobs, and track progress from open to completed.
What you can do
- Create quotations — Add a new quotation linked to a customer and vehicle, with labour and parts. Quote in AED with VAT.
- Convert quotation to job — When the customer approves, convert the quotation to a job in one action. No re-entry of customer, vehicle, or line items.
- Create jobs directly — Create a job without a quotation when the work is already agreed (e.g. repeat customer or fleet).
- View jobs on a Kanban board — See jobs in columns by status (e.g. Created, In progress, Done). Drag and drop to change status.
- View jobs on a calendar — See jobs by date for capacity and due-date visibility.
- Search and filter jobs — Find jobs by customer, vehicle, job number, or date range.
- Assign jobs to bays or technicians — Record where and who is doing the work (depending on your configuration).
- Track due dates and SLA — Set and see due dates so overdue jobs are visible on the dashboard and in reports.
Workflow: Quotation to job to invoice
- Create a quotation — From Sales or Jobs, create a new quotation. Select or add the customer and vehicle. Add labour and parts. Set quantities and prices. Save. Optionally send or print the quotation for the customer.
- Customer approves — When the customer agrees, open the quotation and use Convert to job (or equivalent action). GRX creates a job with the same customer, vehicle, and line items.
- Work on the job — Update the job status (e.g. In progress), add or adjust tasks/parts if needed. Use the Kanban board or calendar to move and view jobs.
- Complete the job — When work is done, set the job to Completed (or equivalent). You can then create an invoice from the job (see Invoicing).
Workflow: Direct job (no quotation)
- Create a job — From Jobs, add a new job. Select customer and vehicle. Add labour and parts (or link a work order). Save.
- Progress and complete — Update status as work proceeds. When done, complete the job and raise an invoice from the job.
Best practices for UAE workshops
Use one quotation per repair or service request so that approval and conversion are clear. Link every job to a customer and vehicle so history and reports are accurate. Set due dates so the dashboard and reports can highlight overdue jobs. Use the calendar view to plan capacity and avoid overbooking in busy periods (e.g. Dubai, Abu Dhabi peak seasons).
