AI Assistant
Read-only AI chat over workshop data — shop and organisation modes, WhatsApp catalog assistant.
AI Assistant in GRX lets owners and managers ask natural-language questions about live workshop data. The assistant is read-only: it can query sales, jobs, expenses, customers, and catalog prices, but it cannot create, change, or delete records.
What you can do
- Shop AI assistant — Open AI assistant from the main navigation or floating button. Ask questions such as “How much did we invoice today?”, “How many jobs are open?”, or “What does an oil change cost?”
- Organisation AI assistant — For multi-branch groups, open AI assistant from the organisation workspace to query data across all workshops, with optional branch filters.
- Citations — Answers can include clickable links to open the relevant invoice, job, product, or other record in the app.
- Conversation history — Chats are saved so you can return to earlier questions in the sidebar.
- Usage visibility — Organisation admins see AI query and token usage on the organisation dashboard.
- WhatsApp catalog assistant — Optionally connect WhatsApp Business so customers can message your number for product and service enquiries. Core matching is deterministic; OpenAI can optionally improve intent detection and reply wording when configured on the server.
Availability
The in-app shop and organisation AI assistant requires an active Premium or Enterprise subscription. Contact GRX support to upgrade your workshop or organisation.
The WhatsApp catalog assistant is configured per shop in Settings (Meta phone number ID and access token). It does not replace your main workshop workflows—it helps customers find catalog items via WhatsApp.
Example questions
- How much revenue did we invoice this week?
- Which jobs are overdue?
- How many customers do we have?
- What were our top expenses last month?
- Search catalog for brake pads or oil change pricing.
Privacy and safety
The assistant only reads data your signed-in user is already allowed to see. It runs through secured Cloud Functions and does not expose write access to your database. Treat answers as operational guidance—always verify critical figures in Reports & Dashboard or the underlying records before acting on them.
