Customers & Vehicles

Customer records, vehicle history, and service history.

Customers and Vehicles in GRX hold the master data for everyone you serve and every vehicle you work on. Every job and invoice should be linked to a customer and (where applicable) a vehicle so you get accurate history, reports, and compliance records.

What you can do

  • Add and edit customers — Store name, contact (phone, email), address, and any notes. Each customer has a unique record.
  • Add and edit vehicles — Link vehicles to a customer. Store make, model, year, registration/plate, VIN, mileage, and notes.
  • View service history — For each vehicle (and customer), see all linked jobs and invoices. Use this for repeat visits, warranty work, or recalls.
  • Search customers and vehicles — Find by name, phone, email, or plate so reception and technicians can pull up the right record quickly.
  • Use customers and vehicles on jobs and invoices — When creating a quotation, job, or invoice, select the customer and vehicle. Data flows through without re-typing.

Workflow: New customer and vehicle

  1. Create customer — Go to Customers, add a new customer. Enter name, phone, email, and any other required or useful fields. Save.
  2. Add vehicle(s) — Open the customer (or go to Vehicles) and add one or more vehicles. Enter make, model, year, registration, and optionally VIN and current mileage. Save.
  3. Use on first job — When creating a quotation or job, select this customer and the relevant vehicle. Complete the job and invoice as usual. The vehicle and customer now have history for the next visit.

Workflow: Returning customer

  1. Find customer or vehicle — From Customers or from the job/quote screen, search by name, phone, or plate.
  2. Select and verify — Open the customer and vehicle. Check last service and mileage. Create a new quotation or job linked to the same customer and vehicle.
  3. Update vehicle details — If mileage or other details have changed, update the vehicle record so history stays accurate.

Best practices for UAE workshops

Keep one record per customer and per vehicle to avoid duplicates and confused history. Update mileage when the vehicle comes in so your service history supports warranty and resale documentation. Use the same customer/vehicle consistently on jobs and invoices so VAT and e-invoicing (when applicable) tie back to the correct party.
