The workshop
Volvo Trucks Repair sits in Mafraq’s industrial area — the kind of workshop where a job can run from a quick brake check to a full engine teardown on a long-haul truck. The team runs computerized diagnostics alongside mechanical work, and a fair share of customers are repeat fleet accounts that expect proper paperwork, not a handwritten note.
Reception takes in vehicles throughout the day. Technicians need to see what was agreed, what parts are on order, and what still needs sign-off before the truck goes back on the road.
What wasn't working
Job details lived on paper cards at each bay. When a fleet customer called for a status update, someone had to walk the floor or dig through yesterday’s pile to answer.
Invoices were typed up separately — often at the end of the week — so labour hours and parts from the job card didn’t always match what went on the bill.
Corporate customers were starting to ask for structured VAT invoices and e-invoice readiness. Copy-pasting line items from Excel into Word wasn’t going to scale.
How they use GRX
Every vehicle intake starts as a job in GRX: customer, plate, complaint, and estimated labour. Technicians update status from the workshop floor so reception isn’t playing messenger.
Quotations go out for bigger jobs — especially engine and transmission work — before parts are ordered. Once the customer approves, the same job carries through to the final invoice without re-keying.
VAT invoices include TRN and line-item detail. For B2B fleet work, the team generates PINT-AE XML from completed invoices instead of rebuilding them in a separate tool.
What changed
- One job record from intake through quotation, work order, and invoice
- Fleet and walk-in customers billed with consistent UAE VAT formatting
- B2B e-invoice XML generated from the same invoice the customer already saw
- Less time hunting for job status — updates live on the job board
“Before, closing a fleet job meant finding the paper card, checking Excel, then typing the invoice again. Now it’s one thread — we finish the job and bill from the same place.”
